Booking and Cancellation Terms and Conditions
The following terms and conditions apply to all individual accommodation, training, competition, meeting, restaurant, and group bookings made with Hevosopisto Oy. To ensure that our group and meeting arrangements run smoothly as agreed, we require compliance with the following terms and recommendations unless otherwise agreed.
These terms apply to individual customers, both those staying overnight and those not, whose booking consists of fewer than 5 room nights or fewer than 5 persons. A "room night" refers to the booking of one room for one night. For example, booking two rooms for two nights equals four room nights.
For reservations of more than 5 room nights or for groups of more than 5 people, group booking and cancellation policies apply.
Summary of Booking and Cancellation Terms
- The booking must include the arrival and departure dates, name, address, phone number, email, and payment method. The person making the booking must be of legal age.
- For stable reservations, the horse's name, gender, and stable location identifier must be provided.
- For electric pitch reservations, the vehicle’s license plate number and size must be provided.
- The booking, including cancellation terms, becomes binding once the customer confirms it verbally or in writing and the sales service confirms it in writing.
- Any changes to the booking must be made in writing to the sales service at reception@hevosopisto.fi.
- All cancellations must be made in writing via email to reception@hevosopisto.fi.
- Free-of-charge student accommodations can be canceled via the online booking system.
- Individual room or stable reservations can be canceled free of charge by 10:00 AM on the day of arrival. Cancellations made after this will be charged the full accommodation price for one night.
- Bookings made through customer service must be paid in full before arrival.
- Rooms are available from 2:00 PM on the day of arrival and must be vacated by 10:00 AM on the day of departure.
- Stables are available from 1:00 PM on the day of arrival and must be cleaned and vacated by 1:00 PM on the day of departure.
Booking and Confirmation
When making a booking, the customer must provide their name, address, phone number, email, the names of all staying guests, and the dates of accommodation. The person making the booking must be at least 18 years old. The booking, including cancellation terms, becomes binding once the customer confirms it verbally or in writing, and the sales service confirms it in writing. The person making the booking is responsible for it.
For guests under 18, a guardian must be responsible for the booking, and their contact information must be provided.
For stable bookings, the horse's name, gender, registration number, and stable location identifier must be provided.
For electric pitch bookings, the vehicle’s license plate number and size must be provided.
The booking confirmation includes the booking details, terms, and pricing. Any modifications must be submitted in writing to the sales service.
Check-in and Stay
Accommodation
- Rooms are available from 2:00 PM on the day of arrival and must be vacated by 10:00 AM on the day of departure.
- Alternative check-in/out times must be arranged with reception.
- Keys must be left on the room table with the door locked.
- A lost or unreturned key will incur a 50€ charge.
Horse Stabling
- Stables are available from 1:00 PM on the day of arrival unless otherwise agreed.
- Horses must be stabled in the assigned stall. Any stall changes must be arranged with the stable manager or reception.
- Stables must be cleaned and vacated by 1:00 PM on the day of departure.
- A day stable is available from 7:00 AM to 7:00 PM.
- A 50 € fee will be charged for inadequately cleaned stalls.
- Stable rules and general safety guidelines must be followed.
- Horse owners are responsible for their horses during their stay. Hevosopisto is not liable for injuries or illnesses.
- Stable assignments will be published on Hevosopisto’s website. If you do not wish for your name to be published, please notify reception at reception@hevosopisto.fi.
Payments
- Bookings made through customer service must be paid in advance via the provided payment link. A manual booking fee of 10 € applies to customer service bookings.
- Invoicing requires a pre-established billing agreement with Hevosopisto. The payment term is 7 days net. A 10 € invoicing fee will be applied.
- In case of illness, a full refund is granted upon presentation of a valid medical certificate.
Cancellation
- All cancellations must be made in writing via email to reception@hevosopisto.fi.
- Individual room or stable bookings can be canceled free of charge by 10:00 AM on the day of arrival. Cancellations made after this will be charged the full accommodation price for one night.
- No-shows will be charged the full price for one night.
- Some bookings may be non-refundable, such as special offers or seasonal reservations.
- Customers should check their travel insurance coverage in case of illness or booking cancellations.
- If Hevosopisto incurs costs for third-party services (e.g., venue reservations, staffing, decorations, catering, AV equipment, etc.), these costs will be charged to the customer even if the booking is canceled or changed within the cancellation terms.
Booking Transfers
- Booking transfers are treated as cancellations and new reservations.
- Customers may not transfer or sublet their bookings to third parties without Hevosopisto’s written consent.
Pets
- Pets are welcome on Hevosopisto’s premises but must be kept on a leash.
- Pets are allowed in designated accommodation areas for a 20 € pet fee per stay.
- If a pet stays in an unauthorized area, Hevosopisto reserves the right to charge a 50 € cleaning fee.
Customer Conduct at Hevosopisto
- Customers must follow Hevosopisto’s general rules and policies (hevosopisto.fi/accommodation-rules).
- By confirming a booking, the customer agrees to comply with these rules.
- If a customer violates these rules, Hevosopisto reserves the right to cancel their booking and remove them from the premises without a refund.
Customer Responsibility
- Hevosopisto is not responsible for any belongings left in its facilities.
- Customers are responsible for any damage caused to the premises, furniture, or equipment by themselves, their guests, or their animals.
- Customers must follow staff instructions regarding the use of rooms, furniture, and facilities.
- If a booking is canceled or interrupted due to disruptive behavior, no refund will be issued.
- Lost key retrieval or emergency call-outs for the on-call maintenance staff will incur a 50 € charge.
Hevosopisto’s Liability
- Hevosopisto is not responsible for any injuries or damages occurring on its premises unless caused by clear negligence in general safety measures.
- Hevosopisto does not provide insurance coverage for customers during their stay. Customers are responsible for their own insurance.
Force Majeure
Hevosopisto is not liable for delays or damages caused by unforeseen circumstances beyond its control, which could not have been reasonably anticipated or avoided.
